Travel Nurse Remote Closing Guide — Closing from Your Assignment City

Remote closing for travel nurses uses a mobile notary at the assignment city location (hotel, hospital, or UPS Store) to witness the 80–150 document signing package. Remote online notarization (RON) via video call is available in 40+ states. The OLH Wire Fraud Verification Protocol™ applies to all remote travel nurse closings: verify wire instructions by phone at an independently sourced number within 24 hours of transmission, and send a $1,000 test wire before the balance.

How Remote Closing Works

Remote closing process: (1) Title company coordinates a mobile notary in the nurse's assignment city (or provides a remote online notarization platform if the state supports RON). (2) Closing documents are sent electronically to the mobile notary and to the nurse for review 24 hours before signing. (3) The mobile notary meets the nurse at a convenient location (hotel room, hospital cafeteria, UPS Store with notary service, or local title company branch). (4) The nurse reviews and signs the closing package; notary witnesses and stamps. (5) Completed documents are returned to the title company. (6) Wires are transmitted and confirmed. (7) Documents are recorded and keys are released. Total signing time: 60–90 minutes. The travel nurse does not need to visit the property location for closing.

Wire Fraud Prevention at Remote Closings

Remote closings are a primary wire fraud target because buyers in unfamiliar cities, closing on properties they haven't physically visited, are particularly susceptible to impostor title company emails. The OLH Wire Fraud Verification Protocol: (1) Never wire funds based solely on email instructions, even if the email appears to come from a known contact. (2) Call the title company at a phone number you obtained independently — from the title company's website, not from any email received. (3) Verbally confirm the exact wire instructions (bank name, routing number, account number, memo). (4) Make this verification call within 24 hours of the wire transmission, not days before. (5) Wire a $1,000 test amount first; confirm receipt before wiring the balance. These five steps take 20 minutes and have prevented losses of tens of thousands of dollars.

Pre-Closing Walkthrough Options

Pre-closing walkthrough for remote buyers: (1) Agent video walkthrough — your OLH-verified specialist conducts the walkthrough live on video call, walking through each room, checking agreed repairs, and documenting condition. (2) Professional walkthrough inspection service — inspectors who specialize in pre-closing walkthroughs for remote buyers provide a written report and photos/video. (3) Trusted local contact — family member or friend attends on your behalf. Skipping the walkthrough entirely risks discovering damage or seller's belongings remaining after close. The video walkthrough with your agent is the most accessible option and takes 30–45 minutes.

After Closing: Property Access

After remote closing, the travel nurse needs property access from the assignment city. Options: (1) Agent holds keys and keeps the property secure until the nurse's next trip home. (2) Agent installs a smart lock before closing; nurse sets the code remotely. (3) Property manager receives keys and coordinates tenant move-in if the nurse is setting up a rental immediately. (4) FedEx key to a trusted contact at the property location. For house hack properties with immediate tenant occupancy planned: the property manager or local contractor should have access to coordinate tenant move-in without requiring the nurse to travel immediately after closing.

“Travel nurses have a structural financial advantage that most people in any profession don’t understand: the combination of high income, zero housing cost on assignment, and $10,000–$20,000/year in stipend tax savings creates a savings rate that can build a real estate portfolio in 5–10 years. The key is doing it deliberately.”

Remote Online Notarization: The Digital Option

Remote Online Notarization (RON) allows the entire closing to be conducted via video call with a digital notary, without a mobile notary physically visiting the travel nurse’s location. RON is currently legal in 40+ states and growing. How it works: the title company sends the closing package digitally; the nurse and notary connect via video call on a secure platform (Notarize.com, Stavvy, or the title company’s proprietary platform); the nurse shows government-issued ID on camera; the notary witnesses signatures made on a digital signing pad; the notary applies a digital notary seal. The entire signing takes 60–90 minutes, same as in-person. RON is particularly convenient for travel nurses in remote assignment locations where mobile notaries may be difficult to find. Verify that the property’s closing state allows RON — some states still require in-person notarization.

The Post-Closing Paperwork

After closing, the travel nurse receives or needs to action several items: (1) The recorded deed — typically mailed within 4–6 weeks by the county recorder’s office; store this safely. (2) Title insurance policy — the owner’s title policy protecting against title defects; keep this permanently. (3) Homeowners insurance binder — verify the policy is active and the premium paid. (4) First mortgage statement — set up autopay immediately to prevent a missed payment during assignment. (5) HOA welcome package — if applicable, contact the HOA to register as the new owner and update emergency contact information. (6) Property tax account — verify that property tax is escrowed in the mortgage payment; if not, set up a calendar reminder for the property tax due date. (7) Apply for homestead exemption — in Florida (by March 1) and Texas (by April 30) of the following year.

FAQ

What is a remote closing and is it legal?

A remote closing is legal in all 50 states through mobile notary, remote online notarization (RON, available in 40+ states), or mail-away closing. Mobile notary at the assignment city is the most common approach for travel nurses.

How do I find a mobile notary at my assignment location?

Ask the title company — they typically coordinate mobile notaries nationally. Or search Snapdocs, Notarize.com, or Signing Agent databases for notaries in the assignment city.

What is wire fraud and how do I prevent it?

Wire fraud occurs when attackers intercept closing emails and substitute fraudulent wire instructions. Prevent by: calling the title company at an independently obtained phone number to verbally verify wire instructions within 24 hours of the wire, and sending a test amount before the full wire.

Do I need to be at the property for the walkthrough?

No. Your agent can conduct a live video walkthrough, or you can hire a professional walkthrough inspector. Skipping the walkthrough entirely is a risk — document condition before closing.
